This notice explains what the redesigned COI website collects through its public forms, why it is collected and the safeguards built into the application experience.

1. Information collected
The membership form collects contact, address, constituency, skills, participation preferences, comments, consent choices and an optional membership-card photograph. Membership and candidate applicants must also select Passport or Voter's Card and upload an image of that document for Bahamian eligibility verification. The candidate form additionally collects constituency preferences, service history, motivation, eligibility disclosures, ethics commitments, comments, a résumé and a biography. The contact form collects contact details, a topic and a message.
2. Sensitive identity documents
A passport or voter's card image is collected only from membership and candidate applicants to verify Bahamian eligibility. The file is stored separately in private object storage using a random internal key. Only authorised administrators can preview or download it through the protected back office. It is not placed on a membership card, encoded in a QR code, included in email, or exposed through a public application route.
3. How information is used
Information is used to assess and respond to membership and candidate applications, organise volunteers and constituency activity, respond to enquiries, maintain the integrity of party processes and satisfy applicable legal or governance obligations. It should not be sold.
4. Storage and access
Application records and minimal identity-document metadata are stored in private platform-backed database storage. Document bytes are stored only in private object storage and are not publicly addressable. Access is limited to authorised COI administrators who need the information for the relevant eligibility review.
5. Abuse prevention
The website applies file-size limits, verifies permitted file signatures and uses a short-lived, one-way connection hash to limit automated or repeated submissions. It does not store the originating IP address in the application record.
6. Retention
Information, especially identity documents, should be retained only for as long as reasonably necessary for the purpose collected, party-governance requirements, dispute handling or applicable law. Authorised administrators can permanently delete an identity document from the protected back office once the COI's approved retention decision permits deletion. The website does not invent a fixed retention period on the organisation's behalf.
7. External services
Donation links and some policy or archive links open external providers or the former COI website. Those services apply their own privacy, security and cookie practices. Review their terms before submitting payment or personal information.
8. Your choices
You can choose not to submit a public form. You may contact the COI to ask about access, correction or deletion of information you submitted, subject to identity verification and any lawful retention obligation.
